Things to know

Before you jump into the steps ahead, here are a few useful things you should  know:

  • Mine's PrivacyOps is a web-based application; this means you don't need to download or install any software on your computer to use the product.
  • It's important to note that when you sign up to Mine's PrivacyOps, you agree to comply with our Terms of use and Privacy policy.
  • You can use our searchable Knowledge Base to learn how something works or if you run into any trouble.
  • You can always reach us at or via the purple chat on your Portal account.

Set up your account

To create your company's Mine PrivacyOps account, sign up with your email account and enter your company's name.

Note: Your email address should be associated with your company (i.e., your email domain should be identical to your company's domain). If this is not the case, contact us here, and we'll help you create your company's Portal account.

Upon setting up your company's account on the Portal, you can start managing your privacy requests using our Privacy Center, Email forwarding, and by manually adding requests to your account. Learn how:

To import requests that were sent from Mine verified users click "Connect to Mine". The number of requests that will be imported will be displayed on the open request page. Keep in mind, importing Mine's request has the benefit of including evidence.

In order to verify your account, you'll receive a verification email, which will be sent to the email address where privacy requests from Mine are currently sent.

This process is to verify that the agent trying to access the Portal is an authorized representative of the company to access its privacy requests.

Note:  If your company owns multiple domains (URLs), you can connect them all to your Portal account to manage all your privacy requests in a centralized place. Learn how to add all of your company's domains to your Portal account in this article: Add a domain.

As part of the account set-up process, you can add team members to your Portal account to manage your company's privacy requests as a team. Learn how to connect your team members to your Portal account in this article: Connect an agent.

Getting familiar with your Privacy Portal

As you get started with Mine's PrivacyOps, it's important to understand how to navigate through the Portal's main pages:

Group 13421

On your requests page, you can review all incoming privacy requests, including each request's status, type, source, and date of receipt.

Your request page is where you'll find all of your company's privacy requests, including each request's status, as well as the option to sort those requests in accordance with their status as seen on the left.

The Request Page

Click on each request on your open requests page for more information.

Each request page stores all Identifying details about the request, including Mine's email evidence and the ability to communicate with the user within the Portal.

You might wonder what the "Identifying details" are - Let's take a closer look as it's a key feature of the Portal.

You can find the Identifying details for privacy requests generated via Mine. In this section, you will see the last three email interactions sent by your company to the user found in the user's inbox. The details include the date of the emails, the email address in your organization that sent the email, and the email's subject line.

This information will help identify and locate the users in your systems, databases, and third-party services.

Your Company Profile

The company profile page is where you can review and edit your company's information related to your Privacy Portal, including associated domains, your company's logo, and the teammates connected to the account. Learn more about your company profile page.
